Terms and Conditions
We are committed to offering you excellent trekking, adventure, and cultural tours, with a focus on your safety, comfort, and satisfaction. Please read these Terms and Conditions carefully before booking your trip with us. They explain your rights and responsibilities as well as our policies.
1. Booking and Payment
1.1 To confirm your booking, a non-refundable deposit of US$ 200 per person is required. The remaining balance must be paid at least 30 days before your arrival in Kathmandu, Nepal.
1.2 Payments can be made by bank transfer or credit card. There is a 3% fee for credit card payments. Clients are responsible for any bank or credit card transfer fees.
1.3 Last-minute bookings are accepted, but trips to India, Bhutan, or Tibet may have specific booking deadlines.
2. Cancellation and Refunds
2.1 The deposit is non-refundable, except if you reschedule to a new trip.
- If you need to cancel, please notify us in writing. Our cancellation policy is:
- More than 30 days before the trip: Full refund, minus any costs already incurred (e.g., permits bookings).
- 25-30 days before the trip: 50% of the deposit refunded.
- Less than 20 days before the trip: No refund.
- No refunds for unused portions of the trip (e.g., accommodation, meals, transport) once the journey has started.
3. Trip Changes
3.1 If you want to change your booking to a different date or destination, a US$ 50 transfer fee applies, subject to availability.
3.2 Any changes to the itinerary due to weather, flight cancellations, or other unforeseen circumstances will be communicated promptly, and we will arrange alternatives where possible.
4. Travel Insurance
4.1 Travel insurance is mandatory for all clients. It should cover accidents, medical emergencies, evacuation, trip cancellation, and baggage loss. We strongly recommend coverage for helicopter evacuation in case of emergencies in remote areas.
5. Flight Delays and Cancellations
5.1 Flights to remote areas like Lukla, Jomsom, and Dolpa may be delayed or canceled due to weather. We suggest adding extra days to your itinerary for any potential delays.
5.2 Everest Adventures Nepal is not responsible for additional costs due to flight delays or cancellations. If a helicopter is needed for timely travel, the client will cover the cost.
6. Risk and Liability
6.1 You travel at your own risk. Everest Adventures Nepal is not liable for personal injury, illness, or accidents during the trip.
6.2 Our guides and staff will provide excellent service, but in cases of severe weather, political unrest, or emergencies, we may alter the itinerary to ensure the safety of the group.
7. Health and Safety
7.1 You must inform us of any medical conditions or health concerns that may affect your trip. Medical forms and fitness evaluations may be required for high-altitude treks.
7.2 If necessary, we will arrange helicopter evacuations and emergency services, but you will be responsible for the cost unless covered by insurance.
8. Changes in Itinerary
8.1 Everest Adventures Nepal reserves the right to change the itinerary without notice due to unforeseen events such as natural disasters or political instability.
8.2 We will communicate any changes promptly and try to make alternative arrangements where possible.
9. Privacy and Data Protection
9.1 We respect your privacy and will use your personal information only to book and manage your trip. Your details will not be shared or sold to third parties.
10. Passport and Visa
10.1 You are responsible for ensuring that your passport is valid for at least 6 months after your trip’s departure date and that you have all necessary visas.
11. Complaints and Disputes
11.1 If you experience any issues during your trip, please inform your guide right away. If the issue is not resolved, you can contact the company directly.
11.2 Disputes that cannot be resolved amicably will be handled according to Nepalese law.
12. Responsible Tourism
12.1 We promote responsible and sustainable tourism. Please respect local cultures, minimize environmental impact, and follow the guidelines given by your guide.
13. Cancellation by the Company
13.1 Everest Adventures Nepal may cancel your trip before departure if unforeseen circumstances, such as natural disasters or political instability, prevent us from operating the planned itinerary.
13.2 If we cancel your trip, you may reschedule or receive a full refund, minus any unrecoverable costs.
